About the Project
HaulMatrix is a fleet operations platform designed for small and medium-sized transportation, delivery, and field-service businesses.
The platform brings vehicle records, driver assignments, maintenance schedules, inspections, fuel expenses, and operational compliance documents into one structured workspace.
Instead of relying on spreadsheets, paper inspection forms, and disconnected accounting records, fleet managers can use HaulMatrix to monitor vehicle availability, identify upcoming maintenance requirements, review safety inspection issues, and audit exact fleet operating costs.
The system is engineered as a multi-tenant SaaS application on a shared database. Tenant-scoped queries and row-level access controls keep each organization's vehicles, drivers, and records separated, with role-based permissions further separating dispatchers, drivers, and platform administrators.
The Problem & Objectives
Commercial fleets generate operational information every day. Drivers complete safety inspections, vehicles accumulate mileage, maintenance intervals approach, fuel expenses are submitted, and compliance documents approach expiration.
When these records are maintained across manual spreadsheets, emails, paper forms, and unrelated systems, managers cannot easily determine which vehicles are available, which repairs are overdue, or whether critical documents are current.
The challenge was to design a platform that could centralize this information without becoming too complicated for drivers and field employees. The application also needed to maintain accurate historical records, enforce organizational boundaries, and support fleet growth without requiring the data model to be redesigned.

How the Solution Was Designed
HaulMatrix uses a modular SaaS architecture organized around vehicles, drivers, maintenance, inspections, expenses, and documents.
A centralized vehicle registry acts as the foundation of the system. Maintenance schedules, inspection findings, assignments, and expenses are connected to individual vehicle records, creating a complete operational history.
Background workers evaluate mileage intervals, calendar dates, and document-expiration rules. When an item approaches its threshold, the system creates an alert and notifies the appropriate user.
Role-based permissions determine which information each user can view or modify. Tenant-scoped queries and automated isolation tests protect organizational data.
